Step 5: Service Providers Access to Online Item 21s
Service providers can now view and download online Item 21 data submitted by their customers. The Online Item 21 tool is available in through the E-File portal. Item 21 data is available:
- for "online" Item 21s only (not paper),
- for FY2009 and forward, and
- only if submitted by your customer
Here are some basic instructions for accessing and using the tool:
- After logging into the E-File system select the "Online Item 21" menu item just below the "472 Online BEAR" menu item on the left hand side of the screen.
- Select one or more SPINs and any other combination of search criteria (Funding Year, FRN, BEN, State, Service Category, etc) then select "Search" to return a table of online Item 21s.
- A table is returned with online Item 21s that match your search criteria. You can then view an online Item 21, download one or more online Item 21s, or modify your search. To download online Item 21 data, select the records and click on "Download Selected". An MS Excel file will open with your online Item 21 data.
Please note that the committed amount for the FRN may be different than what is shown in the online Item 21. Online Item 21 data is limited to the data submitted online by the applicant and does not reflect any modifications or reductions to the requested amount by the applicant or PIA. If you believe that online Item 21 data is incorrect or needs modifications, you must contact the applicant who submitted the Form 471 and Item 21 for the FRN.
